<b>Be audience conscious.</b> Keep in mind that not all event topics or event types cater to everyone. It may be best to put your interpersonal skills to good use when a smaller crowd is involved. That way, the person you’re speaking with will get a better sense of what you and your business is about. When dealing with a larger number of people, it may more useful for you as a respectable public figure to speak to all members of your audience at the same time.<p>
<b>Identify the occasion.</b> Ask yourself this question. Is my event worth talking about? Make sure that your event revolves around a topic of interest. You want your event to be news worthy and have substance. Otherwise people won’t likely be interested in attending. It won’t do your reputation any good, either. <p>
<b>Create a plan.</b> First and foremost, put someone in charge. Publicity can become a mess if too many people are involved. Although it€„¢s helpful to assign small tasks to a few people, there should be one person responsible for overseeing and managing the arrangements. Second, do the planning for your event far in advance. Make a decision on how you want to inform others about your event. Then organize a system for making your plan work. Create a schedule of these activities to keep you organized. <p>
<b>Provide correct information.</b> Present the 5 Ws: Who, What, When, Where, Why. The most important thing is to make sure you give accurate information such as the date, time, and address of the event. Always include contact information in your flyer for those who want additional information or have questions.<p>
<b>Keep up with those involved.</b> After the event, make sure to send thanks to those who helped make your event happen and those who attended. You could also send out a small thank you card to those involved in the media relations of your event and let them know the outcome. It always helps to be on good-terms with the media for any future events. You may also want to write about the results of your event and send to the local press for publication. Chances are if your event was successful and worth talking about, it would be considered newsworthy, something that people would want to know about.<p>
<b>Conduct a post-event assessment.</b> Talking to those who attended your event will help you to understand what went well and what didn’t. Keep notes on things that you wish happened differently. When you begin to understand what attracts people to your event and what doesn’t, you will learn what will bring more people to your events in the future. That will ultimately enhance your PR rep.

Make your event promotions work for you, on the internet, by using a few simple resources to help give exposure to your event, free. How do you go about promoting your local event, when you have limited resources to work with? What is the easiest and most cost-effective way to promote your event? How do you reach your full potential audience and let them know about your event?
There are any number of ways to promote your event; from highly costly to absolutely free, and all budgets in between. Although, when using the more expensive forms of promotion you may get more exposure, but we are looking to do it free. The purpose of this article is to enlighten you on ways to get your event’s message out while avoiding monetary expense. For this article, we’ll assume that you are on a strict budget where the only thing you can spend is a little of your time. We’ll stick exclusively with the free promotional resources on the internet and we’ll keep it limited to just a few.
The first resource we’ll discuss is probably one of the most effective free resources for promoting events on the internet, because it is targeted directly to an audience receptive to your event’s promotional pitch. This promotional resource is an online event calendar called EventSetter.com and is designed specifically for promoting events to the general public. One reason for using EventSetter.com is because the site is targeted for event promotion and it’s organized in a manner that makes it easy for visitors to see your event. Targeting the people most receptive to your message is key, and this site gives you that opportunity and at the same time may get your event a little more visibility with a demographic you might not of anticipated.
You don’t want the message for your event buried beneath clutter and with EventSetter.com being set up first by continent and then by city, with each city having a full set of categories to cover any possible event, you’ll have no problem promoting your event here. What if the details or location of your event changes? Not to worry, because the site also makes it easy for you to either modify or even cancel your event, just in case the need arises. With event listings being permitted 270 days in advance, this gives ample time for people to find your event listing. Your event will eventually move up the list of events, as your event’s date gets closer.
The second resource we’re discussing is the free classified internet ads segment. Although, at first glance, it may seem that free classified ads on the internet are geared exclusively toward people looking to buy and sell items; they can help you tremendously by catching the eye of another potential attendee to your event. Some of the bigger online classified ad websites have an events category, and I would suggest using as many as you can for your geographic area. Depending on your location, there may be no internet classifieds for your area or there may be several, but you’ll have to do a little searching. Searching for these free online classified ads takes time, not money, but this all depends on how you value your time. There are numerous classified ad websites some are local, while others are national or even international, and the size of your event will determine which resources you will use.
Remember, that you are trying to get as much exposure for your event as you can, so use these resources whenever possible. You’re trying to expose your event to as many people as possible, so you need to be aggressive without being intrusive. If your event happens every year or even every month, it’s a good to be prepared to use these resources in advance of the date of your event. Let people get familiar with seeing your event in different online settings, and they will likely be more willing to attend, which is the overall goal. So, get to work and start promoting your events with the above information, and see your attendee levels grow and making your event a success.
Using a few simple internet based resources for promotional activities, you can garner quite a bit of attention for your local event.

You have decided on a place, a design, your guests, the kind of food and bar, and you have basically closed all the lose ends but the music for the event.
Now you have to decide how will the event look like from the musical point of view.
You have acknowledged that you want something special and not just a D.J. or backound music so you are looking for a musical ensemble that will play live music during your event and make it even more memorable.
How and when will you combine it throughout the event?
It is probable that of you want to be special you’ll pick an ensemble with a lead singer and not just an instrumental ensemble.
This type of musical ensemble can usually play a wide variety of styles and it is important to match it to the general atmosphere of the event.
It is also important to make sure that the band and the singer leading it know how to perform in the back round of a whole event running.
This is where your time to decide comes-you have to decide which character the special performance you’ve ordered will receive.
Some bands will play a full time show throughout the whole event (up to 4-5 hours straight). This is a good option since you are not to be occupied with the music at all and the band will be in charge of it for the whole event but the disadvantage is that it can be a bit boring at some point and lose its special place.
Another good option is to put back round music of the place or yours at the reception when people are jus arriving and when its time for the main event(usually combined with the main course¦) the band will start playing and continue to play until the event is ending. There are many music ensembles for events that can play live music in a live show in front of an audience when the croud is talking and eating but aware that there is a live band playing in the back and even stops to clap hands. This definitely makes your event special.
Of course you can also run the event normally from the reception throughout the main event and at some point, maybe at the end of the main course, bring the live band on the stage for a not to long performance which can also combine dancing if it is related. This will be the high light and peak of the event and make it rely unforgettable.
Anyway, the choice of live music for an event is already adding to the atmosphere and to how will the event look like and be remembered. Just make sure that the style is right and that the band is professional and knows when to stand out and when to blend in by need.

Planning any event – large or small – has many of the same elements. All that you need to do is to take these specific elements and then mold them to meet your particular event. Start your event planning by answering a few simple questions.

Questions for Planning Any Event

1. Make a general outline of the event. What is the focus and who is being honored?
2. What is the goal of the event that you are planning? Are you trying to be bigger and better than the last event or are you trying to create an intimate and one of a kind celebration?
3. Who is your audience? Who will be attending the event? You will have a different theme and planning idea for a 8 year old girl than for a 40 year old man.
4. What is the size of your event going to be? How many are you expecting to attend the event?
5. What is the budget for your event? Can you get free or donated items to help with the budget?
6. When will the event be held? Annual events will usually have specific dates, places and times.
7. How long do you have to prepare for the event? Remember that the longer that you give yourself to plan then the easier it will usually be to get things done?
8. Will you have assistance in getting the event planned? Is there a committee or volunteer group that you can count on to help?

Answering these questions will help you jump start your event planning. Sometimes the small events can be tougher to plan than the larger ones (because you are usually on your own) but having a set idea before you begin planning your event will help make the process easier no matter what event you are planning.

Make a blog site and go mobile! Now through RSS Feeds and Blog sites, Committee Members, Guests, and V.I.P.’s will all be able to see your updated blog when you add your entries. Make a video and help your team understand your concerns. Keep your Event Committee informed throughout your entire event planning.

Have special websites you’ve visited that are pertinent to your Event Planning needs? Add them. Are there some images and colors that you want to be sure to implement? Add those to your spaces. Let your people have no doubt about your vision and still open up the floor for questions.

Customize your background and style with that which you would like to portray during the actual event. Add a site for your guests where they can see articles regarding up and coming event attributes! Get everyone excited!
You can do it!

Carry the flavor of your upcoming event with you everywhere you go on your mobile device! Communicate the V.I.P.’s of your event to your guests and enable them to learn more about those guests. If they are guest speakers and have written special books or articles, create a book list or link to their articles before the event.

Are you a Speaker and invited to speak at many gatherings? Plan and create your own event web space! Invite the guests to meet you before you get there by viewing your video online and reading some of your work. That is a greeting. Tell your audience what you will discuss. Ask for questions ahead of time to know what your audience will hope to gain.

Are you a committee member? When is the next meeting scheduled? What will the Agenda be for your contribution there? Do you still have that timeline your Event Coordinator gave you? It’s in a stack with thirty other papers? No? You are at the rental company and it is right there on your mobile? Wow! That’s impressive.

If you are the Event Coordinator, how nice would it be to add a short video letting everyone know the ones, twos, and threes of your event hopes, expectations, and visions? What if the week before the event your committee members could know how appreciative you are of all of their hard work? What if they all could see and hear you tell them on their mobile phone? What if they could replay it when they need to?

If your Committee members are in different locations, consider visiting your newly created web space during a web conference and fine comb through the issues. Add a nice digital presentation to encapsulate the event planning web conference.

If you are travelling with your group and going on a tour, give them a preface. Let them get a glimpse online of their voyage.
